Summaries of roles and responsibilities for each tech team member for Contemporary Worship.

Sound Board

Sound Board Guide

This role is primarily concerned with running the sound board, but must also be ready to handle general audio issues.

  • Be as familiar as possible with the sound board
  • Maintain the quality of audio output within the room
    • Set proper volume levels
    • Adjust EQ and compression as necessary
  • Ensure the correct sound inputs are enabled or disabled at the right times
    • Worship team (vocals & instruments)
    • Jeff, specifically
    • Scripture reader
    • Pastor Bob
    • PC Input (for Spotify and anything else coming from the presentation computer)
  • Provide assistance with any issues within the audio ecosystem
    • Mics
    • Monitors
    • Input connectivity
  • This role is critical at all times the Worship Team meets and plays
    • Thursday night rehearsal
    • Sunday morning rehearsal
    • Sunday morning service
  • Worrying about the Livestream mix during worship is difficult and should likely fall under the purview of the Tech Team Leader

Lighting

Lighting Guide

We do not yet have an official role set up in Planning Center for Lighting as it's technically optional and there's only so much currently required for it. However, if we want to continue to improve the quality of our overall worship presentation, we may do well to give it a bit more attention. With that said, it doesn't currently involve that much. Frankly, especially as it currently stands, this should probably just be automated and triggered from ProPresenter at some point.

Projection

Projection Guide

This role is concerned with running ProPresenter for the benefit of the congregation, the livestream, the worship team, and the pastor. This role requires at least some amount of musical familiarity to keep up with the tempo of each song to advance slides at the most optimal moment. This role is the most active as it requires paying full attention throughout the entire service. Getting distracted can quickly lead to mistakes.

  • Advance the presentation throughout the service
    • Keep up with the lyrics through songs
    • Display the announcements as they're discussed
    • Show the scripture being read
    • Follow the sermon, displaying the pastor's illustrations at the appropriate times
  • Ensure the most appropriate slide is on screen at all times
    • Generally avoid leaving the screen blank
    • Stay in coordination with the Video volunteer to ensure the Livestream is seeing the right image
  • Start and stop Spotify before and after the service to provide music while the congregation enters and exits
  • Start and stop the Livestream (this may be handled by the Tech Team Leader)
  • Be ready for complications and changes that require adjustments beyond what has been authored in the presentation
  • During rehearsals, ensure that Worship lyrics match what the Worship Team is singing
  • This role is critical on Sunday and preferably present on Thursday as well
    • If the Presentation Creator is present and not busy with a different role on Thursday, they can fix any issues that come up with the lyrics
    • Sunday morning rehearsal is required
    • Sunday morning service is required

Video

Video Guide

This role is responsible for running the cameras and other video inputs, selecting what will be displayed on the Livestream.

  • Present the service in the best way possible for the Livestream
    • Provide an engaging view of what's happening
    • Ensure the church is represented in an overall positive fashion
  • Position cameras appropriately to get good shots
    • Maintain a good view of whatever's going on
    • Be dynamic and keep things interesting
  • Ensure the appropriate images are being overlaid from ProPresenter
    • Worship lyrics, scripture, and textual notes should be displayed in the lower thirds of the screen
    • Images can be shown full screen, but shouldn't be left blocking the camera view for too long
    • Coordinate with Projection if anything seems wrong (they may need to manually change the Look)
  • This role is only necessary on Sunday
    • Sunday morning rehearsal
    • Sunday morning service

Tech Team Leader

Tech Team Leader Guide

The Tech Leader oversees the entire process to make sure that everything is set up and taken down appropriately, as well as ensuring that everything goes smoothly, providing assistance if something goes wrong. The Tech Team Leader should ultimately understand and be ready to step into any individual role if necessary. This role will often be combined with other active roles currently due to a simple shortage of volunteers. This comes with the obvious danger that the Tech Team Leader will be busy performing their own role if something goes wrong during the service.

  • Set the room up and tear everything down after both rehearsals and the service
  • Make sure the Livestream is started and stopped
  • Setup the check-in computers
  • Assist with any issues individual volunteers cannot handle themselves
  • Be as familiar as possible with the Hardware Layout to be ready to solve hardware issues
  • If not responsible for another active role, this role can monitor and adjust the Livestream audio as necessary
  • This role should be present at all times the Worship Team meets and plays
    • Thursday night rehearsal
    • Sunday morning rehearsal
    • Sunday morning service

Presentation Creator

Presentation Creator Guide

This role is responsible for creating the ProPresenter presentation for the week. It is beneficial, though not required, to combine this role with Projection, so that the person most familiar with the presentation (as well as the general operation of ProPresenter) can run it. The same person is often responsible for creating the presentations for both the Contemporary Service, as well as the Traditional Service.

  • Import songs created by the Worship Leader
  • Update the PreWorship slides
    • Add anything new
    • Remove anything that no longer applies
  • Set up/import announcements
  • Import the pastor's presentation
  • Clean up all imports
    • Ensure appropriate Looks are applied
    • Make sure all slide elements support those Looks
  • Ensure everything about the presentation looks appropriate at all times on all screens
  • Lyrics should be ready before Thursday's rehearsal
    • This provides an opportunity to clean anything up that changes during rehearsal
    • If the person running Projection is present and capable of fixing things, this role shouldn't be required on Thursday
    • If the person running Projection is not present or capable of fixing things, this role should be there on Thursday
  • The final presentation must be set up on the Projection computer before Sunday morning rehearsal
